Snow & Adventure Club of the Carolinas ("Snow & Adventure," "we," "us," or "our") respects your privacy. This policy explains what information we collect, how we use it, and your choices regarding that information.

Information we collect

Account information. When you sign up for membership or register for an adventure, we collect your name, email address, phone number, mailing address, date of birth, emergency contact details, and any dietary or medical information you voluntarily provide.

Payment information. We use Stripe to process payments. Your credit card number and billing details are handled directly by Stripe and are never stored on our servers. We retain transaction records (amounts, dates, and payment status) for bookkeeping.

Trip participation data. We maintain records of which adventures you have registered for, your rooming preferences, add-on selections, waiver signatures, and any communications related to trip logistics.

Website usage data. We collect standard web analytics — pages visited, time on site, browser type, and referring URL — to understand how members use the site and improve the experience. We do not use third-party advertising trackers.

Photos and media. Photos and videos taken during club adventures may include your likeness. See the media release section of our waiver for details.

How we use your information

We use the information we collect to:

  • Process your membership registration and manage your account
  • Register you for adventures and coordinate trip logistics (accommodation, transfers, equipment)
  • Communicate with you about upcoming adventures, trip details, and club events
  • Process payments, deposits, and refunds
  • Fulfill legal obligations, including maintaining financial records
  • Improve the website and member experience

We do not sell, rent, or share your personal information with third parties for marketing purposes.

Third-party services

We use the following third-party services to operate the club:

  • Stripe — payment processing
  • Supabase — database hosting and file storage
  • Vercel — website hosting
  • Resend — transactional email delivery

Each of these services has its own privacy policy. We only share the minimum information necessary for each service to function.

Data retention

We retain your account information for as long as your membership is active and for a reasonable period after (typically 3 years) for legal and bookkeeping purposes. Payment records are retained as required by applicable tax law. You may request deletion of your account and personal data at any time — see "Your rights" below.

Your rights

You may:

  • Access your personal data by logging into your account or contacting us
  • Correct inaccurate information via your account settings
  • Delete your account and personal data by using the account deletion feature in settings, or by contacting us directly
  • Export your data by contacting us

Cookies

We use essential cookies to maintain your login session. We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but this may prevent you from logging in.

Children

Snow & Adventure Club is for adults aged 18 and over. We do not knowingly collect information from children under 18.

Changes to this policy

We may update this policy from time to time. Material changes will be communicated via email to active members. The "last updated" date at the top of this page reflects the most recent revision.
